Setup
Set up Underway
About half an hour, most of it a conversation with your assistant. At the end, the AI you already pay for works your tasks while you’re elsewhere, and comes to you only when it needs you. Once you’re in, these steps are waiting as your first tasks in Underway, ready to work with your assistant.
Part 1 · The essentials
Five steps, in order. Each one is also a task waiting in Underway, so open your tasks and work through them with your assistant. This page lays out the same steps in one place, to read ahead or keep open alongside.
-
Choose your assistant and plan
Your task in Underway “Set up your assistant”
Your Underway tasks are worked by your own AI assistant: Claude or ChatGPT, whichever you already use.
- Check you’re on a paid plan. The entry plan is enough: Pro on Claude, Plus on ChatGPT. Underway needs your assistant to connect to tools and run on a schedule, and both are paid features.
- Tell Underway which one you use. Once you’re in, open the profile menu at the top right and pick it under Preferred assistant. That decides where a task opens when you want to work it in a chat.
- Install the desktop app, if you can. It’s optional, but it lets your assistant work in a browser with you there, which is a big step up in what it can take on. Download Claude or ChatGPT, and sign in with the same account.
Not sure which to pick? It doesn’t lock you in. Your tasks live in Underway, so switching later changes where a chat opens and nothing else.
You’re done when your assistant is on a paid plan and set as your Preferred assistant.
-
Connect Underway to your assistant
Your task in Underway “Let your assistant talk to Underway”
A connector is how an assistant reaches another service. Adding Underway as one lets your assistant see your tasks, work them, and write back what it did.
Connector URLhttps://mcp.underway.now/mcp- Paste the URL into a new chat and ask your assistant to add Underway as a connector and sign in. It knows where today’s settings are; you do the clicking. If you’re asked for OAuth client details, leave them empty.
- Let it act without asking. In your assistant’s settings for Underway, allow its tools to run without asking each time. Otherwise every step waits on a click, and a scheduled run, with nobody there, never finishes.
- Make sure it’s connected, not just added. On some apps connecting is a separate click after adding. Miss it and the setup looks finished but isn’t.
You’re done when you ask your assistant “what tasks do I have in Underway?” and it lists them.
-
Introduce yourself
Your task in Underway “Tell Underway about you and your projects”
A fifteen-minute interview with your assistant, one question at a time. What it learns is used to prepare every task you add from then on.
Open the interview task in Underway and choose Work this more in …, or just ask your assistant to run Underway’s setup interview. It writes two things as you go, reading each back so you can catch a wrong guess:
Your profile
Who you are, how you work, and what your AI can reach: your mail, your files, the tools you use.
Your projects
One for each area your work falls into: a client account, a product you run, a hiring push, a course, a rental property, a personal catch-all. If part of your job has its own people and constraints, it’s its own project.
- Guess out loud. “I think it’s on AWS” is more useful than skipping the question.
- Say what you don’t have. Knowing there’s no shared drive saves a task from looking for one.
- The tools matter most. You’ll be offered options to pick from, so it goes quickly.
None of it is final. Change your profile under Manage profile in the profile menu, your projects on the Projects tab, or ask your assistant to do either.
You’re done when your profile and two or three projects are saved.
-
Put your assistant on a schedule
Your task in Underway “Schedule your assistant to work your tasks”
This is the step that makes the work happen without you. Claude and ChatGPT can both run a prompt on a timer, called a scheduled task. One of them, running every hour, works all your Underway tasks.
- Copy the run prompt with Copy run prompt in Underway’s profile menu. Use it word for word. Or open the scheduling task in Underway, choose Work this more in …, and your assistant sets it up with you.
- Create a scheduled task with it, running hourly. On Claude, choose the Haiku model if you’re offered one: the run only checks your tasks and hands each to a stronger model, so a small one is enough and uses far less of your plan.
- Make sure nothing waits on approval. Underway, and every tool the work uses, needs to run without asking. Nobody is there to click.
- Run it once now rather than waiting for the first hour to come round.
Runs only pick up tasks in For your assistant. Its heading shows the last run, and turns red after two days without one.
Working correctly
For your assistant 3 Last run 12m agoSomething’s wrong with your scheduled task
For your assistant 3 Last run 3d agoOn Claude, a run keeps checking for new work for most of the hour, so an answer you give is picked up within minutes. Recheck every in the profile menu sets how often. On ChatGPT, a run works one batch and ends, so an answer waits for the next hour.
You’re done when the scheduled task is saved and has run once.
-
Try it on something real
Your task in Underway “Capture your first task and watch it get worked”
Add something small and watch it go all the way round. Pick something the public web can answer, so it doesn’t need your inbox or a login yet.
- Plan easy dinners for the next week and make a shopping list
- Narrow noise-canceling headphones down to two I could buy
- Find three well-reviewed beginner books on personal finance
Type it into the box at the top of your tasks and add it. Within a minute it’s prepared and moves to For your assistant; the next run works it and hands back the result in Review. Read it there, then mark it done, or add a note asking for more and press Keep working.
No scheduled task yet? Open the task and choose Work this more in … to work it with your assistant in a chat.
You’re done when your task reaches Review and you’ve given it your verdict.
Part 2 · Go further
Underway is working for you now. From here it’s about letting your assistant do more, and none of it is required. Take what’s useful, in whatever order suits you.

Give your assistant more reach
Every tool your assistant can reach is work a task can do, instead of describe. Connect the ones your work runs on.
- Calendar
- Files and docs
- Slack or Teams
- A CRM
- Accounting
- A project tracker
Add them in the same assistant Underway is connected to, from its directory: connectors on Claude, plugins on ChatGPT. Those links open the web version; the desktop app has the same directory, and either works. Your assistant uses its own connections; Underway never sees the passwords. Then ask your assistant to update your Underway profile and projects with what it can now reach, so tasks are prepared around it.

Build out your task list with your AI assistant
Your assistant can find the work nobody wrote down. Point it at a source and ask for a task for each thing that needs doing.
-
From your mail
“Make a task for anything in last week’s mail I haven’t dealt with.”
-
From your calendar
“Look at the next two weeks and make a task for anything I need to get ready.”
-
From a document
A syllabus, a project plan, meeting notes: “make a task for each deadline in here.”
-
From a list you already keep
Paste in a to-do list from your notes or another app, or upload a spreadsheet. There’s no import button; this is it.
Rough is fine. Skip anything you were never going to do, since every task you add gets worked. If something is yours alone, with nothing AI can help with, say so and it becomes a solo task: it sits in the same list without being worked.
From then on, ask for a task whenever something comes up: “add a task to renew the car registration.” And when a chat turns into work you want tracked, say “make this an Underway task”; what you’ve worked out so far goes on it.

Your rules
Standing instructions your assistant follows on every task: what may go out on your behalf, and how you like things done.
You already have a set. Every account starts with our recommended rules, and you can read them under Manage rules in the profile menu. In short, nothing goes in front of another person without you: an email, an invite or a shared document is left as a draft for you to send. You don’t need to change them, and until you do, we keep them up to date as we improve them.
- Add only what matters. Something that may go out without you, the tone you write in, where drafts belong, what to always include.
- Keep them short. A long set dilutes every rule in it, and your assistant follows it less well.
Once you edit them, they’re yours, and we leave them alone.

The desktop run: tasks that need a browser
Some tasks need a site you’re signed in to: a cart, a booking, a form, an account page. A regular run can’t do that part, so it hands it to you. The desktop run is a second scheduled task, on your own computer, that tries it first.
It only picks up that browser work, waiting in Your move and not yet tried. Everything else stays with your regular run. It stages the work for you to finish, and never checks out, pays or submits unless your rules allow it.
- Create a second scheduled task in Claude desktop with Copy desktop run prompt from Underway’s profile menu, and set it to run on this computer.
- Sign in to the sites your tasks use, once, in the desktop app’s browser. It works while those sessions stay signed in; when one lapses, the task comes back to you to sign in again.
- Set its permissions to Auto, so it doesn’t stall on a site approval with nobody there.
Good to know
It runs only while the app is open and the computer is awake; a locked screen is fine. Strict sites show checks to an automated browser, and each one comes back to you to clear. A cart it fills lives in Claude desktop’s browser, so open it there.
Without it
Browser work waits for you in Your move. Start Claude session on the task opens a chat that does it with you there.

When something isn’t working
- A run stops partway
- Something is waiting on approval. Check that Underway and every tool the task uses are allowed to run without asking.
- Tasks aren’t being picked up
- Runs only take tasks in For your assistant that aren’t paused or solo. If the last-run stamp is red, check your scheduled task is still there and switched on.
- Your assistant keeps asking to sign in, or Underway’s tools are missing
- Restart the assistant. If that doesn’t do it, disconnect Underway and connect it again.
- The desktop run didn’t fire
- The app was closed or the computer was asleep.

What your assistant can do in Underway
Anything you can do on the Underway app page, your assistant can do in a conversation, and a little more:
- List your tasks
- Read one and what’s happened on it
- Add and edit tasks
- Work a task and report back onto it
- Ask you a question on a task
- Read and update your profile and projects
12
How a task moves
- Preparing
- For your assistant
- Your move
- Review
- Done
A new task is prepared first, usually in under a minute; the spinner in the top bar lists the ones still in progress. It then lands in For your assistant, the only place runs look for work. It comes to Your move whenever it needs you, and to Review when the result is in. From there, mark it done, or add a note saying what else you want and press Keep working to send it back to your assistant.
13
Handling Your move
A task is in Your move because it’s asking you for something. There are three kinds of ask, and each is answered a little differently.
-
Question
A decision or a fact. Tap one of the suggested answers, or type your own and press Answer.

Send the reminder to Northwind. It’s in your drafts, addressed and ready.
› More
- Confirm
- Your part is done, but the task isn’t. It goes back to your assistant to carry on.
- Confirm & Done
- Your part was the last of it. The task is closed too.
- More
- The background behind the ask, when there is some.
- Dismiss
- For an ask you won’t do, or the wrong one. Add a note saying why, or what to do instead, and the task goes back to work with it, just as if you’d answered. The note is optional.
14
Solo tasks
Things only you can do, like signing a lease in person, sit in the same list as everything else, without being prepared or worked. Turn on the person icon in the box at the top before adding one, or use Move to Solo and Move out of Solo on a task. Leave it off and Underway decides.
15
Recurring tasks
Say it repeats when you add it: “summarize my unread mail every morning,” “draft the team update each Friday.”
Each time your assistant finishes a round, it sets the task to come back for the next one instead of closing it. In between, it waits in For your assistant, showing when it’s due back. To stop it, mark it done.
16
Working a task in a chat
Work this more in … on any task opens a chat with the task already loaded, so you start from your first question rather than from explaining. What you decide there is written back onto the task as you go; say “update the task” to be sure. ChatGPT’s desktop app can’t be opened by a link, so for it you get a prompt to paste instead.

Finding your way around
- The sections
- Review, Your move, For your assistant, Solo. The beside each says what it holds.
- Adding a task
- The box at the top. Before you add it, you can set solo, a project, a priority (Normal or High) and a due date.
- Preparing
- The spinner in the top bar lists tasks still being prepared. Delete one there if you added it by mistake.
- Filter
- By project, status (Open, Done, Paused), priority, or due date, from overdue to due within a month. Reset clears them.
- Projects
- The tab beside Tasks: read and edit your projects.
- A task’s tabs
- Deliverables (what was produced), Reasoning (the decisions and assumptions behind the work, what couldn’t be checked, and its sources), Activity (what’s happened), Framing (the goal and background).
- On a task
- Change its project, priority and due date. Add a note, Pause to keep it out of runs and Resume to put it back, or Delete. Mark it done from its row; find it again under the Done filter, where Reopen brings it back.
- Waiting tasks
- A task waiting on a date or a reply says why and when it’s due back, and runs skip it until then. Check on next run ends the wait early.
- Copying
- Copy prompt and Copy task id on a task, for pasting it into a chat yourself.
- Profile menu
- Your preferred assistant, how often Claude runs recheck, light or dark, the welcome again under What Underway is, and the copy buttons for the connector URL and run prompts.
